Every client’s needs are different, so VGS
tailors its programming services accordingly. After meeting with
the client to discuss
their event’s target audience and programming needs, VGS
begins the research process. We pull ideas from a myriad of sources,
tapping into the latest news stories and consumer trends from current
magazines, trade publications, newspapers, television outlets
and online media. We research not only who would be a great presenter
but also who would make a great news story. VGS then compiles a
list of programming recommendations that we feel will pull the
biggest audience for your event and will generate the most publicity
within your budget.
VGS presents the recommendation list to the client
for feedback on which programming options they would like to pursue.
We then
craft letters to potential speakers and entertainers, educating
them on the show and inquiring about their availability and fees.
VGS personally follows up with each potential guest, handles negotiations
with management and continually updates the client on the process.
Once approval is secured, VGS facilitates the
contract process between guest and client, coordinates travel
details, if necessary,
obtains bios and press materials on the guest and handles all
other logistics of the guest’s appearance.
After all of the programming is secured, VGS goes
to work publicizing your event. We identify opportunities to promote
the show itself,
as well as the guests and entertainment that will be of interest
to the public. In addition to writing and servicing press releases
on your event, VGS crafts pitches to radio, television, print,
and online media, and completes up to three rounds of personal
follow-up on each pitch. We also handle all of the logistics of
media coverage once opportunities have been secured.
